JOB DESCRIPTION

Ambassador
The ambassador in all fields of operations shall perform the following duties:
(a) Preside over membership meetings in the field.
(b) Represent VOUSAG in his/her field of operation.
(c) Ensure the organization is working within the standards of the field.
(d) Maintain communication with the field management board at regular interval.
(e) Maintain accurate record of the Organization transactions in the field.
(f) Work with the financial officer to develop field budget for the Organization.
(g) Work with the partners/investors relation officer to create platforms for Partnership in field with companies within the field jurisdiction.
(h) Maintain transparent scheme for funding of field projects.
(i) Maintain communication and meet with regional committees and executive officers in the region through the field management board on a regular basis for necessary re-evaluations.
(j) Review financial expenditures proposed by the financial officer and request approval from the field management board.
(k) Ensures that VOUSAG field operations conforms to all standards set forth by the Organization.
(l) Recommend risk management policies or procedures to the VOUSAG field members.
(m) Ensure that Risk management procedures are implemented in all VOUSAG field Operations.
(n) Submit VOUSAG field operations monthly report to the appropriate regional committee through field management board.
(o) Work hand in hand with all field officers.
(p) Assist field officers with administrative needs and decisions.
(q) Maintain an accurate record of all field membership meetings and make copies available for the field management board and appropriate regional committee as the case may be.
(r) Keep an archive of all VOUSAG field operations.
(s) Work with the information officer to maintain organization website information sourced from the field.
(t) Work with the membership affairs officer to update email list and membership database in the field.
(u) Create platforms that allow students in the field to join VOUSAG membership and participate fully in her operations.
(v) Work with the operation regulatory officer to make clear map out plans for field operations.
(w) Work with regional committees regarding activities and operation success in the field.
(x) Work with the date regulatory officer to draft out a plan that contains dates for all field operations.
(y) Provide information on admission to his field members, consultation to members who are willing to study in his/her field.
(z) Work with the research officer to submit field sub-research project reports to the appropriate regional committee on every last day of the month.
FO-1: Secretary.
The secretary of the field has the following functions;
(a) The officer will be in charge of handling VOUSAG documents in the field.
(b) The officer will handle minutes of meetings for VOUSAG field officers.
(c) The officer will handle minutes of meetings for field membership meetings.
(d) The officer will handle minutes of any meetings in the field.
(e) The officer will work with the ambassador to ensure that all VOUSAG field documents are properly signed by the ambassador or the necessary field officer as the case may.
(f) The officer shall handle the usage of VOUSAG letterhead by any of the field officer.
(g) The officer will work with the operation regulatory officer to ensure that VOUSAG documents are properly handled at all times.
(h) The officer will handle collection of items for preparation of agenda for VOUSAG membership meeting in the field.
FO-2: Public Relation officer
The officer has the following functions;
(a) The officer will inform all VOUSAG members in the field about upcoming meetings and operations in the field.
(b) The officer will be in charge of information dissemination within the field geographical jurisdiction to all VOUSAG members.
(c) The officer will work with the membership affairs officer (MAO) to allow VOUSAG members access beneficial information to them.
(d) The officer will be in charge of details about admission procedures into the field as may be required by VOUSAG members.
(e) The officer will relate with the public who are students basically non-VOUSAG members and alongside VOUSAG Members.
(f) The officer will handle attendance matters of non-VOUSAG members at any VOUSAG Operations in the field.
(g) The officer will handle issues and complains of non-VOUSAG members in the field.
(h) The officer will handle enlightenment issues about the organization to the public audience and students at large.
(i) The officer will handle questions arising from the public about VOUSAG operations in the field.
(j) The officer will work with the operation regulatory officer (ORO) to submit list of VOUSAG non-members interested to be part of VOUSAG Tutoring.
(k) The officer will handle relations with specific and prospective persons needed on the membership of the organization in the field. (Setting up meeting with architecture students, & others and the VOUSAG ambassador).
(l) The officer will work with the ambassador to set up meeting with architects, electrical engineers and other professionals to translate VOUSAG vision into their respective professions for the purpose providing solutions to the teaming problem of society.



FO-3: Operations regulatory officer
The officer has the following functions;
(a) The officer will ensure that there are check and balances in the field officers operation discharge.
(b) The officer will ensure that the geographical jurisdiction of the field is not intersecting with another VOUSAG field.
(c) The officer will assist the ambassador of the field in assigning officers and capable members for VOUSAG series program within the field geographical location.
(d) The officer will ensure that VOUSAG High school charts for VOUSAG series are periodically verified for the purpose of addition or subtraction of coverage by working with VOUSAG High school officers.
(e) The officer will create platforms that allows opportunity for VOUSAG tutoring like private, group and other kinds available to all VOUSAG members in the field through the membership affairs officer (MAO) and the information officer.
(f) The officer will prepare VOUSAG tutoring price chart for both members and non-members of the organization.
(g) The officer will work with the membership affairs officer (MAO) to get the list of qualified members for tutors that will handle VOUSAG tutoring in the field.
(h) The officer will work with the ambassador to ensure that the field receives VOUSAG operation approval (VOA) before any operation kicks off in the field.
(i) The officer will ensure that all officers in the field comply with VOUSAG field constitution, VOUSAG field policy and other guidelines for VOUSAG fields.
(j) The officer will work with the ambassador to explore opportunities for VOUSAG business establishments in the field.
(k) The officer will work with the membership affairs officer (MAO) to produce list of VOUSAG members in the field fit for any opportunity opened in any VOUSAG subsidiary company.
(l) The officer will be in charge of reporting operations of VOUSAG subsidiary companies within the field geographical jurisdiction to the ambassador for update purpose.
(m) The officer will work with the membership affairs officer (MAO) to ensure that field members are always available to engage in operations of VOUSAG subsidiary company as may be required from time to time.
(n) The officer will ensure that no VOUSAG operation approved date intersects with important programmes of the field.
(o) The officer will work with the membership affairs officer (MAO) to fix suitable date for VOUSAG Operations in the field.
(p) The officer will work with the ambassador in the field to pick convenient dates for VOUSAG operations in the field.
(q) The officer will ensure that all VOUSAG operations align with convenient date and time.
(r) The officer will work with the operations regulatory officer (ORO) to make suitable and convenient dates available for visiting VOUSAG officers to the field.
(s) The officer will be in charge of provide VOUSAG DATE GRAPH (VDG) which will detail projection of dates for VOUSAG operations in field.
(t) The officer will submit list of available dates to the office of the field ambassador for the purpose of effective planning.



FO-4: Account officer
The officer will have the following functions;
(a) The officer will be in charge of financial matters in the field.
(b) The officer will be in charge of monitoring field account affairs and submission of report to the field management board through the ambassador.
(c) The officer will be in charge of evaluating the exchange rate for proper verification of membership regulatory fees in the field.
(d) The officer will handle budget matters of the field from time to time and work with all field officers.
(e) The officer will make report of philanthropist seeds giving to the field available on request through the office of the ambassador to the field management

FO-5: Membership affairs officer
The officer has the following functions;
(a) The officer will have the detailed database of membership at every point in time in the field.
(b) The officer will design strategies that will lead to increase in VOUSAG field membership at all levels (Emerald, Gold, platinum & Royal).
(c) The officer will develop adequate strategy to ensure that members attend field membership meeting.
(d) The officer will handle interview for all VOUSAG members in the field.
(e) The officer will ensure periodic verification of VOUSAG members in the field.
(f) The officers will ensure effective communication with all VOUSAG members in the field through every productive and approved means by the organization.
(g) The officer will handle complains and issues arising from registered VOUSAG members in the field.
(h) The officer will handle issue of field members in attendance at any VOUSAG operation in the field.
(i) The officer will handle issues of membership regulatory fees verification at various interval.
(j) The officer will handle issues of membership codes at every point in time irrespective of the membership category.
(k) The officer will verify the membership form of all field members from the regional headquarters at intervals.
(l) The officer will work with the ambassador and operation regulatory officer to ensure that all VOUSAG members in the field have no issues.
(m) The officer will ensure that all VOUSAG members in the field understand membership policy of the organization.
(n) The officer will work with the operation regulatory officer (ORO) and Nomination officer (NO) to handle issues of VOUSAG nomination as it concerns the field.
(o) The officer will verify all VOUSAG Field members irrespective of their membership category. This could include provision of identity cards (Institution card) and VOUSAG membership card by members.
(p) The officer will handle membership interview for all VOUSAG members in the field.


FO-6: Partners relations officer
The officer has the following functions;
The officer will work with the ambassador to set up meetings with potential partners (Individuals and companies) to the field.
(a) The officer will draft proposals for specific field operations partnership.
(b) The officer will make a periodic list of potential partners for the field.
(c) The officer will work with the operation regulatory officer (ORO) to draft out field partners benefits for potential partners.
FO-7: Transport officer
The officer has the following functions;
(a) The officer will draft out operation schedules for VOUSAG cab system in the field.
(b) The officer will work with the information officer to make VOUSAG departure operation schedule during vacation when members are travelling back to their homes.
(c) The officer will work with the information officer to make VOUSAG arrival operation chart available for members upon resumption when they are to travel back to the field.
(d) The officer will work with the account officer to make VOUSAG transport system affordable for members in the field.
(e) The officer will work with the ambassador to schedule interview for VOUSAG pilots who will operate the transport system in the field effective.



FO-8: Sport Officer
The officer has the following functions;
(a) The officer will handle appointment of VOUSAG field coaches.
(b) The officer will work with the Membership affairs officer (MAO) to handle field team players enlistment from within the membership.
(c) The officer will work with the Public relation officer (PRO) to ensure that constant update on up-coming sport competitions are made available both in and out of the field.
(d) The officer will work with the operation regulatory officer (ORO) to ensure that the field teams enlist in competitions in the field.
(e) The officer will work with the VOUSAG field team coaches to design suitable training days for each field team.
(f) The officer will work with the operation regulatory officer (ORO) and investor’s relation officer to make training kits and materials available for each VOUSAG field team.
(g) The officer will work with the investor relation office (IRO) to highlight opportunities available for partnering companies with any of the VOUSAG field team.
(h) The officer will be work with the VOUSAG field sport teams to ensure their proper enrolment in competitions in and out of the field.
(i) The officer will handle the interviews for prospective field team coaches.
(j) The officer will work with the Membership affairs officer to verify the membership of prospective field team coaches and players.



FO-9: Orientation officer
The officer has the following functions;
(a) The officer will handle re-orientation programmes for members on monthly basis in the field.
(b) The officer will work with the publication officer to make orientation write-ups to be published in VOUSAG insights.
(c) The officer will work with the operation regulatory officer to schedule dates for VOUSAG orientation programmes that will enlighten members on all VOUSAG field operations.

FO-10: Publication officer
The officer has the following functions;
(a) The officer will handle collection of write-ups for VOUSAG insight for the field of operation.
(b) The officer will be in charge of collection of write ups from members in the field in order to review their suitability for VOUSAG insights, VOUSAG development book and VOUSAG journals.
(c) The officer will work with the financial officer (FO) to provide fees for available spaces on VOUSAG insight publications.
(d) The officer will work with the public relation officer (PRO) to ensure that some publication on the VOUSAG insight are suitable for VOUSAG non-members.
(e) The officer will work with the partnership relation officer (IRO) and the financial officer to provide fees for spaces on the publication as may be required by VOUSAG affiliated companies.
(f) The officer will provide periodic publication dates to the field secretary on monthly basis.
(g) The officer will work with the ambassador and operation regulatory officer to design effective template for VOUSAG Insights in the field.
(h) The officer will work with the ambassador to access the VOUSAG global monthly theme.
(i) The officer will draft out VOUSAG biography analyzation and exploration chart (V-BAEC) on regular basis. This chart will be communicated with the PRO and the MAO to allow all field members and non-members be conversant with the diverse biographies of successful persons.
(j) The officer will to ensure that insights explored from analysed biographies are properly published.
(k) The officer will work with the ambassador to ensure that some outstanding write-ups suitable for VOUSAG Development book are properly forwarded to the regional operations committee.
(l) The officer will ensure that all explored biographies are in line with the theme of the month.
(m) The officer will handle biographies submitted by VOUSAG members in the field.
FO-11: Research officer
The officer has the following functions;
(a) The officer will work with the ambassador to handle research projects assigned to the field from the regional headquarters.
(b) The officer will work with the membership affairs officer (MAO) to identify VOUSAG members with project issues, term paper and assignment issues in the field.
(c) The officer will work with membership affairs officer (MAO) to request for list of VOUSAG members who are capable of helping other members with project, term papers and assignments.
(d) The officer will prepare periodic charts for VOUSAG projects, term papers and assignments consultation.
(e) The officer will collate interesting research topics that could lead to product generation which will address the needs of members and non-members in the field.
FO-13: Welfare officer
The officer has the following functions;
(a) The officer will work with the ambassador and MAO to help VOUSAG members with scholarship forms from the regional headquarters.
(b) The officer will work with the MAO to request for list of VOUSAG members who need assistance (scholarships and others) in the field.
(c) The officer will work with the Operation regulatory officer and ambassador to draft out chart that address specific welfare needs in the field.
(d) The officer will work with investor relation officer (IRO) to open platform that allows investment and partnership which gives them opportunity to contribute resources that will address the welfare need of VOUSAG members in the field upon approval from the ambassador’s office.
FO-14: Nomination officer
The officer has the following functions;
(a) The officer will in charge of reviewing nomination processes in the field.
(b) The officer will handle interviews for nominees from within the membership of the field.
(c) The officer will work with appropriate officers as may be required at intervals to ensure that due processes are followed during nominations for any office in the field.
(d) The officer will be in charge of endorsing nomination forms after intensive membership verification from the membership affairs officer.
FO-15: Legal operations officer
The officer has the following functions;
(a) The officer will work with the membership affairs officer to handle sensitive issues legally in the field.
(b) The officer will schedule available dates for VOUSAG legal advisory session (V-LAS) to help members with issues in a wide range.
(c) The officer will work with the publication officer to highlight issues that needs urgent legal attention in the VOUSAG dialogue book (VD-Book) before official meeting will be set up with the field authority by the ambassador.
(d) The officer will work with the ambassador to file legal cases to the field authority.
FO-16: Facility officer
The officer has the following functions;
(a) The officer will be in charge of choosing suitable location for construction of field office.
(b) The officer will be in charge of making quotations for materials needed to design any facility under the care of the field through the office of the ambassador.
(c) The officer will be in charge of reviewing proposals from non-VOUSAG companies for contracts under the care of the field.
(d) The officer will be in charge of supervision of workers during any construction project under the care of the field.
FO-17: Project officer
The officer has the following functions;
(a) The officer shall make consultation sessions details available to the ambassador for VOUSAG members who need assistance with their projects in the field.
(b) The officer will create a VOUSAG project bank (VPB) to which will contain archive of projects in their diversities which will help VOUSAG members with their current project.
(c) The officer will work with the appropriate regional committee through the office of the ambassador to source for project materials from other VOUSAG fields in the region.
(d) The officer shall be in charge of commercial designs (Online designs for awareness of any VOUSAG field operation) in the field.
(e) The officer shall be in charge of reviewing the field letter head for corrections.
(f) The officer will work with the ambassador to make prototype designs for any VOUSAG field operations.
(g) The officer will handle the regulations of photographs of VOUSAG members in the field.
(h) The officer will work with the facility officer to pick a suitable location for VOUSAG membership group photographs.
(i) The officer will be in charge of VOUSAG photographers who will take daily photographs of students in various strategic locations in the field.
(j) The officer will be in charge of co-ordination of VOUSAG photography studio in the field.
(k) The officer will be in charge of collating photographs in field and making it available to the ambassador.
(l) The officer will work with the date regulatory officer to tag dates on all photographs in the field.
(m) The officer will create a detailed archive of all VOUSAG field pictures.
(n) The officer will work with the operation regulatory officer to receive appropriate approval from field authority before photographs will be taken across the field.

FO-18: Sales operations officer
The officer will have the following functions;
(a) The officer will handle the sales of all VOUSAG merchandise in the field.
(b) The officer will work with the financial officer to ensure consistency in the remission of funds into the field account.
(c) The officer will handle sales of tickets for all VOUSAG operations in the field.
